A colleague who never sleeps: the AI agent on WhatsApp
For Tommy’s Service four systems run as one. The most visible piece: an AI agent that meets the team where it already is - on WhatsApp.
No dashboard to log into, no app to learn. You send a message like you would to a colleague, in Dutch, Polish or English - and you get an answer drawn from the company’s real data.
What the agent does
It books and moves appointments, flags double bookings before they hurt, finds a PDF and sends it right back into the conversation, prepares the daily report. Meanwhile GPS time tracking confirms who clocked in where - built for people with dirty hands and a phone in their pocket, not for office-software enthusiasts.
The point is not "AI for AI’s sake". The point is time: every question the agent handles is one less interruption for the people on site.
Everyone hears about agents that you just type something into Gemini or GPT and you already have an agent. That is a bit of nonsense, because those are shallow and imprecise tools. The agent I build is a system built in n8n, the automation-building program well known among programmers.
Using various tools, including cooperation with Meta, we create a phone number registered with Meta that becomes the agent’s number. There are test numbers for up to 5 users for free, or a more advanced, permanent one. For Tommy’s Service the test one is enough, because exactly five administrative employees use it.
You just write to the agent like to a friend: how are things at the company? How many invoices came in, what invoices. You can ask about clients, about client data. The agent can send us invoices on WhatsApp. You can use the mail without being in the mail.
You can ask about the company’s financial situation, because all invoices that come in and go out through the mail are opened and analysed by the agent, and all the data is saved in tables.
Our agent can check social media statistics or create and publish posts, but here there are certain technical obstacles set by Meta, because the access tokens are temporary and you have to watch them all the time, since they go out without warning.
The system as a whole is heavily composed as a process and allows any extension with many features. Such a system can be unstable and requires constant supervision, but once stabilised it is an excellent partner for business.
Imagine you disconnect from your phone and drive off for a weekend in the Bieszczady mountains, cut off from the world. Then, when you come back to your phone or computer, you do not have to ask your employees what happened over the last 48, 72 hours or even the whole week, because you ask the agent for a report and it tells you everything that happened in the mail, what came in, what was sent, whether there are new clients, what about the old ones, and so on, and so on - and all the information can be saved automatically in your calendar.
The possibilities of such an agent are countless and I recommend it to every company where a lot is going on. The price for designing such a system by me starts at 5 thousand euros. You also need to remember about buying the right servers and API services, but those costs are rather marginal and should not exceed 100 euros a month after the system is built and tested.
